Job Role or Description
- As part of the comprehensive services we offer, Fiduciary provides unparalleled customized tax services to our clients. The Fiduciary Operations team analyzes and processes transactions by partnering with Fiduciary’s Tax Services Department and operates as tax diagnosticians, targeting weaknesses and comprising solutions for the most challenging of issues. This position, Tax Operations Analyst, is part of Fiduciary Operations and is responsible for the administrative tax aspects of cost records for clients, reporting to IRS or other tax authorities, maintaining policies and procedures, assisting with tax processing on Fiduciary’s trust accounting system and other downstream applications like OneSource.
- Coordinates and maintains reporting and tracking requirements for the Tax Operations process. This includes; Run and review weekly tax reclaim receivable reports. Research and resolve any inconsistencies with receivables created. Process outstanding receivable write-offs as necessary. Daily monitoring of third-party custodian break report for incoming refunds. Maintain the Tax Reclaim database within Lotus Notes to ensure client records are up to date. Update receivable status on Accounting System upon filing completion. Complete monthly operating reports (MOR) of department volumes and statistics. Complete monthly Clearance Account Reconciliation providing explanation for any income not disbursed
- Responsible for client facing task, such as; Addressing internal client inquires related to pending receivables, documentation or income. Addressing external client inquiries related to Residency Certifications, Power of Attorney (POA) documents or pending receivables. Communicate with the Internal Revenue Service and Foreign Tax Authorities by phone or email regarding client certifications or filings.
- Ensuring compliance and preparing tax documentation by; Completing, verifying and filing client tax documentation necessary for obtaining Residency Certifications from the IRS. Creating and maintaining the appropriate reclaim forms for filing in various markets. Filing tax reclamation forms/applications with various Tax Authorities, paying agents and/or liaisons. Responding to rejections when trying to obtain a Residency Certification from the IRS or when filing with Tax Authorities. Complete and file split letters (Omnibus Breakdowns) with third-party custodian for Depository Trust Company securities. Maintain files containing original client Residency Certifications (Form 6166)
- Processing of tax transactions, by ensuring that income received for clients is researched and posted accurately and in a timely manner. Repatriating all foreign income to US Dollars. Setting up and maintaining tax tables/income maps for country and account levels to ensure the proper amount of tax withholding. Writing off and re-establishing receivables where necessary as per the Closing Memo Instructions. Disbursing funds from the Tax Reclaim Control Account for income posted by both Tax Reclaim and other internal income groups.
